Tenant placement brings together the rental's availability, enquiries, application review and the steps after a decision. Clear responsibilities help the owner understand what information is available and which decision remains theirs.

Use relevant information consistently

Screening needs to respect applicable privacy and human-rights requirements. Application information should be considered through an appropriate, consistent process rather than assumptions about an applicant's background. Identification, financial documents and other personal information need controlled handling. A general website enquiry is for the owner's service needs, not for uploading a prospective tenant's private records.

What information should be used when assessing applicants?

Use relevant information through a process consistent with Ontario human-rights requirements. Income source or a protected characteristic must not become a screening shortcut; review the proposed criteria against OHRC guidance before using them. OHRC: discrimination and rental screening

Can a fixed rent-to-income ratio decide every application?

For ordinary private-market rentals, a rent-to-income cutoff is not an appropriate screening rule. OHRC guidance explains the prohibition and the limited context of subsidized housing; use a compliant review of relevant information rather than a preset ratio. Should application documents go through this website enquiry?

No. The initial form is for the owner's service needs. Arrange a controlled channel and explain what information is needed and why before collecting applicants' identification, financial records or reference details. Privacy Commissioner: rental-housing privacy

Are reference checks informal information that can be shared freely?

No. Reference and background information involves personal information. Establish appropriate consent, purpose and access controls for the checks rather than circulating private applicant details among owners or providers without a defined process. Privacy Commissioner: rental-housing privacy

Does placement include the lease and move-in inspection?

Confirm those tasks individually. Application review, owner approval, lease administration and the condition handoff are distinct responsibilities, and ongoing rent collection or maintenance should also be identified separately in the proposed arrangement.

Can the service promise a perfect tenant or a fixed placement date?

Screening and coordination do not establish either outcome. Review the accepted scope and any separately documented commitment, including its conditions, without treating an application review as proof of future conduct or guaranteed occupancy.
