Move-In Inspections

Our reports include photographs of every area inspected, condition notes for all surfaces and fixtures, and working status documentation for all appliances. Reports are dated, signed by both our inspector and the incoming tenant, and stored securely in the property file. Both parties receive a copy immediately following the inspection. This shared documentation eliminates the "it was already like that" disputes that consume enormous time and cost at the LTB.

Move-Out Inspections

The move-out inspection is conducted as close to the tenant's departure date as practical. We compare current condition directly against the move-in report, photograph all areas, and document any changes beyond normal wear and tear. Our inspectors apply Ontario's standards for distinguishing normal wear from compensable damage—a distinction that matters enormously when tenants dispute security deposit deductions.

Following the move-out inspection, we prepare a clear damage assessment with supporting photographs, cost estimates for required remediation, and a reconciliation of the security deposit against documented damages. For buildings with engineering reserve fund requirements, our inspection documentation provides supplementary input to your reserve fund studies.

Are landlords required to conduct move-in inspections in Ontario?

Ontario's RTA does not strictly mandate move-in inspections, but landlords who wish to make security deposit deductions for damages are in a significantly stronger position with documented baseline inspection records. Without a move-in inspection, challenging a tenant's "it was already damaged" defence at the LTB is very difficult. We consider move-in inspections a non-negotiable part of responsible tenancy management.

How much notice do tenants receive before a routine inspection?

Under Ontario's RTA, landlords must provide tenants with a minimum of 24 hours' written notice before entering the unit for routine inspections. We provide notice through our tenant communication system, document delivery, and maintain records of all entries to your units. Yes. For condo corporations under our management, we conduct comprehensive common element inspections covering lobbies, corridors, amenity spaces, mechanical rooms, parking structures, roofing, exterior envelope, and all other shared elements. These inspections are scheduled into your annual maintenance calendar and their findings drive your maintenance planning and reserve fund analysis.

How long does a typical unit inspection take?

A thorough move-in or move-out inspection for a standard residential unit takes approximately 45-90 minutes, depending on unit size and condition. Comprehensive building inspections for larger condo corporations are typically scheduled as half-day or full-day events. We prioritize thoroughness over speed—a rushed inspection defeats its own purpose.

How are inspection reports shared with property owners and boards?

Inspection reports are delivered electronically through your owner portal within 48 hours of the inspection. Reports include the written condition assessment, all photographs with timestamps and descriptions, and any recommended maintenance or follow-up actions. Reports are stored permanently in your property file and are accessible on demand at any time.
