Lease administration connects the signed agreement with later communications, recorded changes and key dates. Keeping that history together makes it easier to understand the current arrangement without relying on scattered messages.

Drafts, approvals and signed versions serve different purposes. A clear record identifies which document is current and how any agreed changes were authorised and communicated.

Reconcile signed documents and later agreed changes before using dates or terms for the next administrative action.

Generally, Ontario residential tenancies continue after the fixed term if not lawfully ended, often on a monthly basis when rent is paid monthly. Administration should preserve the current signed record and identify any proposed change for proper review and approval. Do not treat a management handoff as permission to replace an agreement or impose a new tenancy arrangement.
Confirm it separately. Tracking dates, preparing records and coordinating signatures are administrative tasks; advice on unusual provisions, notices or disputes may need an appropriately qualified professional under a separate scope.
Collect the current signed lease, later agreed changes, relevant communications and unresolved administrative tasks through a private channel. Identify gaps so an incomplete folder is not treated as a complete tenancy history.
Keep the proposal, owner approvals, tenant communication and final signed documents distinct. Record what remains undecided and the person responsible for follow-up rather than marking a renewal complete when only a draft has been prepared.
