Services and their purpose
Property Emergency Coordination
An urgent property issue can involve an occupant, an owner and several service providers at once. Emergency coordination gives those people a defined way to report the issue, arrange access and make decisions under the agreed management arrangement.
Property Financial Reporting
Property reporting brings rent, expenses and outstanding items into a form an owner can review. Its value is in showing what changed during a period and which figures need a decision or closer explanation.
Lease Management and Renewals
Lease administration connects the signed agreement with later communications, recorded changes and key dates. Keeping that history together makes it easier to understand the current arrangement without relying on scattered messages.
Property Condition Inspections
Property inspections can create a reference point for maintenance planning, a management handoff or a particular concern. Notes are most useful when they connect an observation to its location and the date of the visit.
Property Maintenance Coordination
Maintenance coordination turns an issue reported at the property into a defined piece of work. It connects the request, the owner's decision, access arrangements and the information needed to follow up afterward.
Rent Collection Administration
Rent administration connects the amount due with payments received, adjustments and outstanding balances. A clear record helps the owner understand the position of each tenancy without piecing it together from bank entries and messages.
Tenant Screening and Placement

Rental administration and legal decisions
Rent collection records, maintenance history and lease documents serve different purposes. Keeping them distinct helps an owner understand what has been received, what work has been authorized and which obligations remain. A property inspection records observed condition; it is not automatically an engineering assessment or proof of tenant liability.
Residential tenancy management and condominium corporation management are not interchangeable. Ontario’s CMRAO regulates condominium management licensing. The licence and service requirements for a condominium engagement should be checked directly with the regulator; a property-management brand name is not evidence of a licence.
Terms explained
- RTA
Ontario’s Residential Tenancies Act, which governs many residential tenancies and contains specified exemptions.
- LTB
The Landlord and Tenant Board, which decides applications under the RTA.
- Rent deposit
A deposit reserved for the last rental period under the RTA, subject to the Act’s limits and interest rules.
- N4
A notice concerning non-payment of rent. It is not itself an eviction order.
- N1 and N2
Forms used for particular rent-increase notices, not lease-renewal agreements.
- CMRAO
The Condominium Management Regulatory Authority of Ontario, which regulates condominium managers and management providers.
Common questions
Does a fixed-term Ontario residential lease have to be renewed?
For a tenancy covered by the RTA, expiry of a fixed term does not by itself require the tenant to leave. If the tenancy has not otherwise ended, it generally continues on the applicable periodic basis under the Act. A rent-increase notice is not a lease-renewal form.
Can the last-month rent deposit be used for damage?
No. Under Ontario’s RTA, a rent deposit is for the last rental period. Damage compensation is a separate issue and ordinary wear is not the same as damage. The LTB explains the available processes and deposit rules.
Does an eviction notice authorize a landlord to change the locks?
No. For a tenancy covered by the RTA, a notice is not an eviction order. If a tenant remains after an enforceable LTB eviction order, only the Court Enforcement Office (Sheriff) can enforce it. The reason, form, order and any stay determine the applicable process; there is no universal extra 60-day period after the order.
