What is your management fee structure?
Our management fees are based on a percentage of monthly rent collected, typically ranging from 8β12% depending on portfolio size and service level. There are no hidden fees β our full fee schedule is disclosed upfront in your management agreement. Volume discounts are available for owners with multiple properties.
How do you handle maintenance requests?
Tenants submit maintenance requests through our dedicated contact line or online portal. We triage each request, dispatch our trusted in-house trade network for standard repairs, and escalate urgent or emergency issues immediately β 24/7. You receive a notification and approval request for any repair above your pre-approved threshold.
How are tenants screened?
We conduct a thorough multi-step screening process including credit check, employment and income verification, rental history, and personal references. All screening is done in compliance with Ontario's Human Rights Code. You receive a full screening summary before any tenancy is approved.
How often do you inspect the property?
We conduct a move-in inspection (documented with photos), semi-annual routine inspections during the tenancy, and a thorough move-out inspection. Additional inspections can be scheduled upon request or if a concern arises. All inspection reports are shared with you.
What happens if a tenant doesn't pay rent?
We follow Ontario's Residential Tenancies Act strictly. If rent is overdue, we issue the required notices, file with the Landlord and Tenant Board if necessary, and manage the full N4/L1 process on your behalf. Our goal is always to resolve situations early before they escalate to formal proceedings.
Can I still access my own property while it's under management?
Yes β you own the property and retain full access at all times. We simply ask that you coordinate with us for any planned visits during a tenancy so we can provide the required 24-hour notice to the tenant as required by Ontario law. What's the minimum property size you manage?
We manage single-unit rentals (one-bedroom condos, basement suites) all the way up to large multi-unit portfolios. There is no minimum property size. Many of our best long-term clients started with a single property and grew their portfolio with us over time.
Can I switch to D&D mid-tenancy?
Absolutely. Mid-tenancy transitions are routine for us. We work with your existing tenants professionally, review current lease agreements, and ensure the handoff doesn't disrupt the tenancy. Most transitions complete within 2 weeks with minimal friction for both you and your tenants.
Do you offer month-to-month management contracts?
Yes. While most clients prefer annual agreements for better pricing, we do offer month-to-month arrangements for owners who want flexibility while they evaluate the service. After the first 90 days, the vast majority of month-to-month clients convert to annual agreements.

Is there a setup fee to onboard a new property?
We charge a one-time onboarding fee that covers property inspection, photography, listing creation, initial marketing, and lease template preparation. This fee is clearly disclosed upfront before you sign anything. For owners adding a second or third property to an existing account, a reduced onboarding rate applies. We believe in complete transparency before any engagement begins.
How do you handle security deposits under Ontario law?
We follow the Residential Tenancies Act precisely. Under Ontario law, landlords may collect a last month's rent deposit only β no additional security deposit is permitted. We hold deposits in a dedicated trust account, track interest owing annually, and apply or return funds strictly according to LTB rules. Our owners are protected from compliance risk because every deposit transaction is documented and auditable.
Can I terminate the management agreement if I'm not satisfied?
Yes. Our agreements include a mutual termination clause with reasonable notice. We ask for 60 days written notice so we can transition tenant communication, keys, and documentation cleanly without disrupting your tenants. Do you provide monthly financial statements?

What is the minimum number of units you manage?
We work with single-property owners as well as portfolio investors. There is no minimum unit requirement β whether you have one condo, a duplex, or a 40-unit building, we offer management services tailored to your scale. That said, pricing and service structure do vary by portfolio size, so we encourage you to reach out for a customized quote based on your specific situation.
Can I switch to D&D while a tenant is already living in the property?
Yes β mid-tenancy transitions are something we handle regularly. Once you sign with us, we introduce ourselves to the tenant, update all contact information in the lease record, and take over day-to-day communication and maintenance coordination immediately.
