Coordination is distinct from performing a repair or renovation: the required physical work, provider and approval process need to be identified. A submitted enquiry does not grant authority to act or replace a management agreement.

List the tasks you want delegated and those retained by the owner or another provider. Compare the recurring and separately charged work, approval limits and exclusions in the written proposal. Do not assume a single fee covers every task or emergency attendance.
Provide a general description of the property, current arrangements and requested responsibilities. Agree the purpose of the discussion, any documents needed, expected follow-up and any charge beforehand. Do not send private tenant records through an initial general enquiry.
Ask for the specific provider and individual names, licence details and scope where condominium-management licensing applies. Verify those details with CMRAO before confirming an arrangement; a general property-management description does not establish a licence.
Agree how work is requested, who approves spending, how providers are selected and what completion records are required. Identify whether existing contractors, a D&D business or another provider would perform the work. Network membership alone does not establish response times, credentials or discounted pricing.
Compare the responsibilities covered by the recurring fee with leasing, inspection, maintenance coordination and other separately priced work. Review payment terms, exclusions and approval limits for the property. Do not assume a market percentage, volume discount or universal fee structure.
Discuss the relevant checks, consent and handling of applicant information, consistent lawful criteria and the decision-maker. For ordinary market rentals, do not use a blanket rent-to-income cut-off or treat a general screening description as a guarantee of suitability. Agree the process for the particular tenancy.
Review the payment records, tenancy circumstances and authority to act before deciding the next step. Required notices and any tribunal process depend on the applicable rules and case. Confirm the role of any qualified representative; do not assume automatic filing dates or a guaranteed outcome.
Ownership does not give unrestricted entry during a tenancy. Identify the lawful reason for a visit and arrange the notice or applicable exception required for that situation. Coordinate access with the responsible property contact; an owner's preference alone does not establish the right to enter.
