Capital expenditure (CapEx) planning is the practice of setting aside a reserve each month to fund the eventual replacement of major building components. Without a reserve, capital expenses arrive as financial shocks that disrupt cash flow and force reactive decisions about how to fund them.

Ontario Tenancy Law

The roof is the largest single capital expenditure for most residential rental properties. Asphalt shingle roofs in Ontario's climate last 20 to 25 years. If a property has a 20-year-old roof, its replacement cost ($8,000 to $15,000 for a typical house) should be in or near the CapEx reserve already.

HVAC systems — furnace, central air conditioning, and hot water heater — are the most frequently replaced systems. Furnaces in regular maintenance last 20 to 25 years; heat pumps and central air units 15 to 20 years; hot water heaters 10 to 15 years. Replacing all three at once is a $10,000 to $15,000 event for a typical house.

Protecting Landlord Rights

Windows and exterior doors: 25 to 30 years on original windows is typical before efficiency or seal failure necessitates replacement. A full window replacement for a 1,500 square foot house is $15,000 to $25,000. Phased replacement (prioritizing the worst-performing windows first) is a common strategy.

The CapEx reserve contribution rate recommended by most property managers is 1 to 2% of the property's value per year, set aside specifically for capital replacements. For a property worth $600,000, this means $6,000 to $12,000 per year in reserve contributions — a cost that should be built into the property's operating budget from day one.
