Rent Receipts in Ontario: What Landlords Must Provide

Property Management in Ontario

Ontario law requires landlords to provide rent receipts on request — understanding the legal requirement and maintaining proper records prevents LTB disputes.

The Residential Tenancies Act requires landlords to provide a written receipt for any rent or other amount paid in cash, promptly on request by the tenant. For non-cash payments (cheque, e-transfer), a landlord must provide a receipt on request within a reasonable time.

Key Responsibilities and Best Practices

Receipt content requirements: a valid rent receipt must include the date the payment was received, the period the payment covers, the amount paid, the address of the rental unit, and the signature of the landlord or their authorized agent. Missing any of these elements makes the receipt deficient.

Annual receipts for tax purposes: tenants who claim rental payments for income tax purposes (in some circumstances) may request annual summaries of rent paid. While the Act technically only requires receipts for individual payments, providing an annual summary is good practice that builds positive landlord-tenant relationships.

How D&D Property Management Helps

Last month's rent receipt at the beginning of the tenancy: when a tenant pays the last month's rent deposit, the landlord must provide a written receipt specifying the amount, the date received, that it is for last month's rent, and the unit address. This receipt is the tenant's primary documentation of the deposit amount.

Electronic receipts: email confirmation of receipt of an e-transfer payment, with the rental period and amount specified, constitutes a valid electronic receipt. Maintaining these email records provides a complete rent payment history accessible to both parties.
