Property Management in Ontario
Handing off management responsibilities to a professional requires careful preparation, documentation transfer, and a defined transition process to ensure continuity of service.
Timing the transition: the best time to transition to professional management is between tenancies, when no active tenant relationship is in progress. Transitioning mid-tenancy requires the new manager to introduce themselves to existing tenants, understand any ongoing issues, and pick up relationships mid-stream — all manageable, but requiring extra care.
Key Responsibilities and Best Practices
Documentation package for the incoming manager: the complete tenant file including the signed lease, move-in inspection report and photos, rent deposit receipt and interest calculation, maintenance request history, and any LTB correspondence or orders. Incomplete documentation creates gaps in the ongoing management record.
Bank account transition: set up a trust account in the property management company's name for rental income deposits. Provide existing tenants with updated payment instructions — new account details, payment methods, and who to contact for maintenance. Give 30 days advance notice to ensure a smooth payment transition.
How D&D Property Management Helps
Maintenance contractor network: introduce the property management company to your existing contractors (plumber, HVAC, electrician, landscaper, etc.) if you've established relationships you want them to maintain. Alternatively, let the manager use their own contractor network — established managers typically have better pricing through volume.
Service level clarity: before signing a management agreement, ensure you have a written understanding of exactly what services are included in the monthly management fee and what triggers additional charges. Review the agreement's termination clause and notice requirements in case the relationship doesn't meet your expectations.
