Monthly financial reports from a property management company are one of the most valuable services they provide — knowing what to expect ensures you're getting the information you need.

The owner statement is the core monthly report. It should show: rental income received, expenses paid (with descriptions of each expense), management fees charged, any reserve fund transactions, and the net amount remitted to the owner or accumulated in the trust account.

What Good Reporting Looks Like

Expense detail matters. An owner statement that shows only 'maintenance' for a $1,200 expense doesn't allow the owner to understand what was repaired or whether the cost is reasonable. Itemized expense reports with vendor names, dates, and brief descriptions of work performed give owners the transparency they need to manage their investment effectively.

Rent roll reports show the status of each tenancy: unit identifier, tenant name, lease start and end date, monthly rent amount, current balance (paid to date, or outstanding), and last payment date. This one-page overview allows an owner to see their entire portfolio status at a glance.

Transparent Property Management

Vacancy reporting should include the date a unit became vacant, current marketing activity, and any qualified applicant activity. An owner who only finds out a unit has been vacant for 6 weeks when they receive a statement with no rental income for the period has been failed by their property manager.

Annual reports should include a full-year income and expense summary that matches the format needed for T776 tax filing. Some managers produce this in January for the previous calendar year; others produce it immediately after December closes. This report, combined with the original purchase documents, is the complete picture of the property's financial performance for the year.
