Tenant retention is the single most powerful cost reduction strategy in property management — a renewed tenancy eliminates advertising, vacancy, screening, and turnover costs that can exceed $3,000 to $5,000 per event.
Initiate renewal conversations 90 days before lease expiry. This gives both parties time to negotiate, make decisions, and plan without urgency. A renewal offer presented 30 days before expiry creates unnecessary pressure and invites tenants to start looking elsewhere just in case.
Ontario Tenancy Law
The renewal offer should be specific: proposed new monthly rent, proposed new lease term (12 months is standard), and any changes from the existing lease conditions. A clear proposal is more effective than a vague inquiry about whether the tenant wants to stay.
Rent increase timing at renewal: for units subject to rent control (first occupied before November 15, 2018), the increase must comply with the annual guideline. For units not subject to rent control, market rate is appropriate. Consider the cost of vacancy when deciding how aggressively to increase rent at renewal — a $100/month increase that causes a quality tenant to leave creates a $3,000 to $5,000 vacancy cost plus the uncertainty of a new tenant.
Protecting Landlord Rights
Relationship quality predicts renewal rates. Tenants who have received prompt maintenance responses, respectful communication, and fair treatment are far more likely to renew than those who have experienced neglect or adversarial interactions. The maintenance and communication investments made throughout the tenancy pay off at renewal.
Written renewal confirmation: even for month-to-month continuations, a written confirmation of the new rent amount and any changed conditions provides clarity and prevents disputes. If a new fixed-term lease is signed, both parties should have a copy before the existing term expires.
