The Student Rental Playbook

If you do three things right, student renting is easy. If you miss them, it's miserable.

Every year, about 40,000 new students arrive in Waterloo Region looking for housing. Almost all of them try to figure out the rental market on their own, get stuck, and either sign something they regret or end up in residence for a second year because they missed the window. The three things they miss are timing, guarantor paperwork, and joint liability.

Timing. The Waterloo student market is anchored to a single May 1st turnover date. This is not negotiable — it is the product of decades of lease cycles that have calcified around the co-op calendar. If you want a prime walk-zone house for May 1, you sign in November or December. If you wait until April, you are picking from what is left, which is rarely what you want. Conestoga's Doon campus is a looser market with more September 1 and rolling start dates, but even there, the best listings move 6-8 weeks early.

Guarantor paperwork. Most students without employment income need a parent or guardian to co-sign. The guarantor needs Canadian credit (or international documentation), income at three times the annual rent, and government ID. D&D processes this in under 48 hours once the documents arrive. Students who scramble for this at application time lose the unit to a student who already had it ready.

Joint liability. If four roommates sign one lease (the norm), all four are on the hook for the full rent. The guarantor process, explained.

What D&D needs from a guarantor

  • Government ID (driver's licence or passport)
  • Proof of income — most recent Notice of Assessment (T1) OR two pay stubs + employer letter. Income must be at least 3× the annual rent.
  • Canadian credit — Equifax pull with written consent. 650+ score is the standard; international guarantors provide equivalent documentation (more below).
  • Signed guarantor agreement — Ontario Standard Lease (Form 2229) co-signature. The guarantor is jointly responsible for unpaid rent and damages for the term of the lease.
  • E-transfer or pre-auth setup (if the guarantor is paying rent directly, which many parents prefer for their first-year student)

International guarantors: D&D accepts international guarantors with: passport, most recent tax return or equivalent from home country, bank statements showing 12 months of rent equivalent in liquid assets, and an international credit report (where available). Approval typically takes 3-5 business days instead of 48 hours — start early.

A note on joint liability: A guarantor is legally on the hook if the student stops paying. If three students sign one lease and one fails out, the other two's guarantors can be pursued for the failed student's rent. This is how Ontario joint leases work. Talk about it with your student and their roommates before signing.

Waterloo student housing moves earliest in Ontario. Prime listings for a May 1st move-in post in October and are typically signed by December. Most 12-month leases near UW and Laurier start May 1 regardless of academic calendar, because the entire market anchors to one turnover date. Conestoga Doon Campus has a less compressed market; September 1 move-ins are common and listings post into July. Who pays the utilities in a student rental?

It depends on the unit. D&D listings clearly state utilities in each posting. Common structures: (1) all-in rent (heat, hydro, water, internet included), (2) rent plus utilities split among roommates, (3) rent plus hydro only. Always confirm who puts utilities in their name and who pays — a $160/mo hydro bill shared four ways is $40 per person, simple.

Furnished or unfurnished — which is better for students?

Furnished units carry a $100-$250/mo premium but eliminate the IKEA weekend, the moving truck, and the end-of-year Kijiji sell-off. For 8-month and 12-month international students, furnished almost always wins. For four-year domestic students staying in one place, unfurnished plus second-hand furniture is cheaper in year two onward. D&D stocks both; ask about the inventory list before signing.

How does roommate matching work with D&D?

D&D does not perform roommate matchmaking, but we do support group leases. When four friends sign a four-bedroom together, each signs the same joint lease with co-guarantors. All names are on one Ontario Standard Lease; rent can be split internally as the group chooses. If a roommate leaves mid-lease, the remaining tenants are still jointly responsible for the full rent until a replacement is signed onto the lease — bring this up with your group before anyone signs.
